Getting started

What is Affinity NXT?

Affinity NXT is a personal sales assistant for foodservice sales reps, built to give you more time with more customers. It records sales calls by voice, sends personalized digital outreach to customers, drafts AI-composed follow-up emails in your writing style, and surfaces action items so nothing falls through the cracks.

How do I get the app?

After you attend a training session, you can download and activate the app yourself — no waiting for an invite. Visit affinitynxt.com on your phone, open the Download Your App page, install via the Apple App Store or Google Play, then complete Activate your account on the web. Sign in to the app with your Affinity Sales email.

Can I use NXT on an iPad or Android tablet?

Yes, the app installs and runs on tablets, though the layout is optimized for phones. Most reps use NXT on the same phone they use for calls and email.

I just installed and signed in — what should I do first?

Before recording your first real call, take five minutes to: enable permissions (microphone, location, camera, notifications), forward 3-5 example emails to emails@affinitynxt.com so the AI learns your writing style, add an email intro for new account outreach, and star your favorite distributors so they appear at the top of filters.

NXT and CRM

Do I still need to use CRM?

Yes. NXT and CRM work together — they don't replace each other. CRM remains the system of record for accounts, planned calls, objectives, reporting, and dashboards. NXT is for in-the-field workflows: voice-recording calls, sending digital outreach, AI-composed messaging, and action item tracking.

When should I use NXT vs. CRM?

A simple rule: NXT when you're with customers, CRM when you're at your desk. Use NXT for recording sales calls, sending follow-up emails, and digital outreach. Use CRM for trimester planning, mass edits, objectives, and any reporting.

What can I do in NXT that I can't do in CRM?

Voice-record sales calls with AI transcription and product matching, send personalized Digital Outreach to customers, generate AI-composed follow-up emails in your writing style, capture Action Items automatically from voice recordings, and run AI Targeting to find operators likely to buy a specific item.

What stays in CRM and isn't available in NXT?

Reports and dashboards, pipeline and deal views, objectives and quotas, trimester planning and mass edits, full historical activity (NXT only shows what NXT recorded), prospect account creation outside the context of a call, address and contact edits, and merging duplicate accounts.

Is my NXT login the same as my CRM login?

No. NXT and CRM have separate passwords. You may use the same Affinity Sales email for both, but the passwords are managed independently. There is no single sign-on between them, and NXT does not use multi-factor authentication.

Will my recorded calls show up in CRM?

Yes. Once you complete data entry on a sales call in NXT, it exports to CRM on the next 15-minute import cycle. The Activities tab tracks export status (CRM Pending → CRM Exported).

Why don't NXT and CRM always show exactly the same data?

The two apps sync on different schedules. NXT exports calls to CRM every 15 minutes (one-way — edits in NXT don't flow back after export). CRM refreshes accounts, sales plans, and distributors into NXT every night. After a call exports, CRM is the source of truth — historical edits made in CRM aren't pushed back into NXT's call detail screens.

Recording sales calls

How does voice recording work?

You speak naturally about your call — what was discussed, with whom, what was committed to, and what's next — and NXT's AI transcribes it, identifies the products and customers, and structures it into CRM-ready data. You review and edit before submitting.

How fast is it compared to typing into CRM?

Recording with NXT is 2-3x faster than manual CRM entry, and typically captures more detail because verbose voice input is easier than verbose typing.

What's the CAPTURE framework?

CAPTURE is the structure for what to mention in every product discussion: Contact, Agreements, Products, Timing, Units, Results, and Explore why. After recording, NXT scores how completely you addressed each element and offers coaching to improve.

What if I don't say everything explicitly during the recording?

NXT fills in sensible defaults so the call still produces a complete CRM record. If you don't specify a quantity, it defaults to 52 cases per year (one case per week). If you don't specify a follow-up date, it defaults to 30 days out. These are starting points — review and edit them before submitting if the real values are different.

Can I review and edit before submitting?

Yes. You can re-record entirely, append more audio with "Add More Audio," or edit any structured field — products, status, volume, dates, comments — before finishing the call. The AI is your assistant; you still own the accuracy of what gets submitted.

What if I make a mistake?

You can edit the call in NXT before it exports. If you discover a mistake after it's already in CRM, edit directly in CRM (since CRM becomes the source of truth post-export). If you recorded against the wrong customer entirely, you can delete the call from the Activities tab.

How long can a recording be?

Each continuous recording stops automatically at 5 minutes. You can build a longer overall note by recording, stopping, and tapping Add More Audio to append.

Digital Outreach

What is Digital Outreach?

A way to send personalized video and content links to customers between in-person visits. You build the outreach in NXT (using a curated library of videos plus optional selfie intros), and the app sends a link the customer can open on their phone or laptop.

How do I know if a customer engaged with my outreach?

You can track views and clicks in real time in the Activities tab. If the customer taps "I'm Interested," you receive an immediate notification, an email with the details, and an Action Item is automatically added to your task list.

When should I use Digital Outreach instead of an in-person visit?

Common scenarios: new item launches you want to get out fast, food show previews and follow-ups, trimester support, staying top-of-mind with customers between visits, and prospecting at scale combined with NXT's AI Targeting.

Action items and follow-up

What are Action Items?

Your to-do list, organized by customer. They come from three sources: customers tapping "I'm Interested" on a Digital Outreach, AI-captured commitments from your voice recordings (e.g., "come back in 3 weeks with dessert options"), and tasks you create manually.

Can NXT help me write follow-up emails?

Yes. After any call, NXT generates AI-composed follow-up emails in your writing style. You select recipient type, key products, and thought-starters; NXT drafts; you edit; then it opens your mail app (Outlook, Gmail, etc.) with the draft pre-loaded so you can send from your own affinitysales.com account.

How does NXT match my writing style?

You forward 3-5 example emails from your Outlook to emails@affinitynxt.com (or paste them into User Details → Email Writing Examples). The AI uses these samples to compose messages that sound like you.

Privacy and data

Are my voice recordings kept?

Yes — recordings are retained so you can play them back later from the Activities tab.

Is NXT secure?

The app uses standard authenticated APIs over HTTPS and JWT-based session management. Login is email + password (no MFA). Voice recordings, call data, and customer information are stored on Affinity NXT servers under the same security model that governs CRM data.
